REFORMER 247 PTY LTD ACN 663 685 756 (Trading As 247 Reformer) of 76 Princes Highway, St Peters NSW 2044, together with its subsidiaries and affiliated 247 Reformer studios in Australia, makes its studios available for private hire across our locations in St Peters (NSW), Greenway (ACT) and West End (QLD).

This document sets out the terms on which we make our studios available for hire and is referred to as our Studio Hire Policy.

In this Studio Hire Policy, “we” and “us” refers to 247 Reformer and “you” refers to any individual or organisation hiring a 247 Reformer studio. By paying a deposit and proceeding with a booking, you agree to the terms set out below, which form part of your booking agreement with us.

Making a booking

All hire enquiries are made by email to admin@247reformer.com.au (attention: Josie, Head of Partnerships & Events). Please allow up to 48 hours for a response.

A booking is only confirmed once we have issued a written quote or booking confirmation and the deposit has been received. Dates are not held on the basis of an enquiry alone and remain available to other clients until a booking is confirmed.

Minimum hire is one hour. Hire of more than three hours is quoted individually — please ask us for a custom rate.

Studio capacity

Hire capacity is limited to each studio’s equipment and the comfortable capacity of the space. Guest numbers above mat capacity must be agreed with us in writing in advance.

  • St Peters (Sydney, NSW) — up to 6 reformer beds and 6 mats per session.

  • Greenway (Canberra, ACT) — up to 14 reformer beds and 14 mats per session.

  • West End (Brisbane, QLD) — up to 10 reformer beds and 10 mats per session.

The numbers above are the maximum available per session — that is, at any one time — and are not a cumulative total across your hire. A longer booking may run multiple back-to-back sessions using the same equipment (for example, three 45-minute classes within a three-hour hire).

Pricing and payment

Current hire rates are set out in our Studio Hire Catalogue. All prices are exclusive of GST, and 10% GST is added to the final invoice.

A deposit of 50% of the total hire fee is required to confirm a booking. The deposit is refundable in accordance with the cancellation terms below. The balance is due seven days before the hire date. For bookings made within seven days of the event, full payment is required at the time of booking.

All payments must be made through the 247 Reformer app. A valid card must be stored on file within the app to confirm a booking, and the deposit, balance and any additional fees (such as overtime, reset, cleaning or repair charges) may be charged to the card on file.

Add-ons such as an instructor, catering, cake, gift bags, signage or décor styling are confirmed and charged with the final balance, unless ordered later, in which case they are invoiced separately and due before the event.

Cancellations by you

All cancellations must be made in writing to admin@247reformer.com.au. A cancellation takes effect from the date and time we receive your email. Deposit refunds are based on the notice you give before the hire date:

  • 14 days or more — full refund (100% of deposit).

  • 7 to 13 days — 50% of the deposit refunded.

  • Less than 7 days — no refund; the deposit is forfeited.

Where the balance has already been paid, it is refunded in full regardless of notice period — only the deposit is subject to the tiers above. Add-on costs already incurred on your behalf (for example custom cakes, catering orders or printed signage) are non-refundable once ordered, regardless of notice period.

Rescheduling

One free reschedule is permitted where you give 14 days’ or more notice, subject to availability, and your deposit transfers to the new date. Requests to reschedule with less than 14 days’ notice are treated as a cancellation under the terms above, and a new booking and deposit are required. Rescheduled dates must fall within three months of the original date.

Cancellation by 247 Reformer

In the unlikely event we must cancel due to circumstances beyond our control (for example equipment failure, damage to premises, loss of access or force majeure), we will offer you the first available alternative date or a full refund of all monies paid. Our liability is limited to the amounts you have paid us, and we are not liable for any third-party or consequential costs.

What’s included in your hire

The standard hire fee is a flat rate covering exclusive use of the studio and its existing equipment and furnishings, set up as they are on the day. It does not include our team setting up, supplying, rearranging or clearing tables, furniture or styling for you — including any extra tables or items you bring in. These can be arranged as an additional service if agreed with us in writing in advance, and are quoted and charged separately.

You are welcome to move and rearrange the studio’s furniture and equipment yourself to suit your event. Everything must be returned to its original position by the end of the hire, and we strongly recommend taking photos of the space before you move anything so it can be reset correctly. Fixed installations — including sound systems, screens, lighting and wall fixtures — must not be moved, removed or adjusted at any time.

Your hire period includes a 15-minute bump-in and 15-minute bump-out either side of the booked time. Additional set-up or pack-down time must be booked and is charged at the hourly rate. The studio must be vacated, and all of your property, décor and rubbish removed, by the end of the hire period. Time over-runs are charged in 30-minute increments at the hourly rate.

Décor must be free-standing or fixed using non-marking methods only. No nails, screws, tape or adhesives may be used on walls, mirrors, arches or floors. Confetti, glitter, smoke machines and open flames (other than birthday candles) are not permitted.

Use of reformers and safety

Reformers are specialised equipment. For any session involving reformer use, a qualified Pilates instructor must lead the session — either booked through us as an add-on or supplied by you, in which case proof of current qualification and insurance is required before the booking is confirmed.

All participants must complete a health declaration and waiver before using the equipment, and we reserve the right to refuse equipment use to any participant who does not. Participants use the equipment and studio at their own risk, and you are responsible for ensuring all guests follow staff and instructor directions.

Alcohol and catering

247 Reformer is not a licensed venue and does not sell alcohol. For events where alcohol is present (for example Paint N Sip or social gatherings), alcohol is supplied and consumed on a private, BYO basis at your responsibility. You are responsible for ensuring all guests consuming alcohol are 18 years or over and that consumption is responsible. We reserve the right to stop service or end an event for intoxicated or unsafe behaviour, with no refund.

No alcohol or open drinks are to be placed on or near the reformer equipment, and catering must be confined to designated areas agreed at booking.

Damage, cleaning and conduct

You are responsible for the studio, equipment and fixtures during the hire and for the conduct of all guests. Any damage, breakage or loss is charged to you at repair or replacement cost, and we may withhold the deposit and invoice for any costs exceeding it.

If studio furniture or equipment is not returned to its original position at the end of the hire, a reset fee from $80 applies. The studio must be left in a reasonably clean and tidy condition, and a cleaning fee from $80 applies where additional cleaning is required. Smoking, vaping and illegal substances are strictly prohibited on the premises.

Photography and social media

247 Reformer may photograph or film the space and event for marketing purposes unless you notify us in writing beforehand that you do not consent. Where you tag or post content from the studio, we’d love a tag — @247reformer.

Liability and insurance

To the extent permitted by law, 247 Reformer is not liable for any injury, loss or damage to persons or property during the hire, except where caused by our negligence. Nothing in this Policy excludes rights that cannot be excluded under the Australian Consumer Law. You are responsible for any personal items brought into the studio.

Acceptance of these terms

Payment of the deposit constitutes acceptance of this Studio Hire Policy in full. This Policy forms part of your booking agreement with 247 Reformer.
